Phone calls & errands
How to call and book an appointment
You’re talking to the front desk, at your dentist. The goal: book a time that works and confirm it.
Your first line
The front desk starts with “Good morning, how can I help you?”
“Hi, I’m a returning patient, and I’d like to book a cleaning. I’m free Tuesday or Thursday mornings.”
Facts ready: who you are, what the visit is for and when you’re free are the three things the front desk needs to find you a slot fast.
What the front desk might say, and what to say back
the front desk: “The first thing I have is about two weeks out.”
You: “That’s okay, I’ll take it. Can you also put me on the waitlist in case something opens up sooner?”
the front desk: “Mornings are pretty booked.”
You: “Got it. Do you have anything before 8, or after 4 on any day?”
the front desk: “That slot only works for a short visit.”
You: “Okay. What’s the next opening that fits a full cleaning?”
Two things that trip people up
- Saying “whenever works,” then turning down every time they offer.Give two or three real windows before they start offering.
- Hanging up without repeating the time back.Say the day and time out loud: “Thursday at 7:45, got it.”
Now say it out loud
Reading the words isn’t the same as saying them. Practice this one with the front desk pushing back like the real person would. Then your coach, Frankie, fixes your exact words. The move to focus on: Facts ready.
Practice this one free3 free reps a day. No sign-up. Out loud or typed.
